Typically, the accounting software authorizes users by accounting models. This way is very useful but not sufficient. EFFECT provides the function of user management authorization in the most detailed way.
Input authorization
You can authorize users to input data by each document type (including the document types created exclusively for businesses).
Authorize to view and print reports
You can authorize users to view and print reports to each report group and each specific report (including reports created specifically for businesses ).
Function Tree authorization
EFFECT has tree function on the background interface ( instead of the menu in other software ). One user may be banned from a certain number of functions in the function tree (such as data entry).
Authorize to edit list
You can authorize users to be able to add, remove, edit, delete items in a list or not ( such as adding materials , goods , customers...).
Prohibit in line
You can restrict users to a number of lines in a list (for example : Accountant may only enter arising data for a number of departments or base units only...).
Prohibit in column
You can prevent users from seeing certain columns in some category (eg: Warehouse staff can not know the column "price" of the list of goods ... ).
Prohibit in Form (Interface Window)
You can prevent users from using a certain Form (window). Then users would not be able to get into this form (eg: configuration screen can only be seen and used by the system administrator)
Prohibit to each object in Form
You can prevent users from clicking a button or changing a mark ... in any form (eg: one user can acess data display but can not click "Hide, unhide input cells").
In addition, EFFECT has other features to manage users, such as :
Group right, Prohibit to edit other user’s data , authorization setting , Prohibit user, Right to edit books and reports , data entry only, right to delete data, Prohibit down management, prohibit to edit data to the date...
Lock data editing and lock data entry
One of the ways for the system administrator or chief accountant to ban users from editing the data that has been " locked " is setting the day to lock editing the data. Once setting the day to lock editing the data, all the data from the day earlier than the closing date can not be modified. In order to modify the locked data, the authhorized person must remove or reset the date. Besides, EFFECT allows setting different days to lock editing the data for different users. When setting one certain day to lock editing data for one certain user, the general locking day would become ineffective for the respective user.
When the software has been in operation for long time (eg a few years ) , the volume of data has been relatively large, which slows down the system, then the system administrator or chief accountant can perform the function of locking data entry any given time at the end of the month . After closing the data, users can not edit the data from that time backwards, but all the reports and data search still can be done normally. The data entry closing function serves the first goal of increasing the program’s running speed since when closing / locking the data entry, the program has cut data so that the database frequently accessed only contains data after the closing date, hence the speed of the program will increase. Only one way to modify the locked data is that the authhorized person must open the locked data on the software.
The date of locking data editing takes higher priority than the date of locking data entry, which means it is impossible to remove or reset the date of locking data editing to be able to edit data before the date of locking data entry.
