Up management

Concept and necessity.

 

“Up Management” is the concept that users analyse the report’s data by tracing back the information (or other reports) related to the current criteria in the report. This reverse access can be done up to the original documents. This not only works for those who exploit and test the data (Chief Accountant, General Accountant) but also for those who generate data (data entry) when the need to compare report’s results with the detailed data (original documents) to detect errors and modify the data.

If you perform accounting on your computer, you may wish to look at "Detailed liabilitiy Book" of a particular customer while watching "Matrix of customer receivables" to examine changes in sales which has created a collection of the debt on the balance sheet.

When looking at the reports (or comparing data with customers), if you find any errors (for example: You have entered the wrong amount of sales on the receipt...), you will need to amend the errors (of course the data are not yet in the closing period). Normally, you need to return to the screen of "data entry", find and amend the wrong data, then come back to check the reports , if it’s still incorrect, you have to go back to edit the data one more time... This process usually takes a lot of time and effort. You only need to find the original data to correct by only one action (double-click or clicking ENTER key on such reports), and then edit the data immediately without having to return to the input interface. This is called correcting data from reports or Up Management.

 

In which reports of EFFECT that Up Management can be applicable?

 

All reports , including reports generated by users.

Users can change (customize) the Up Management of all reports (this is also one characteristic of Customized EFFECT software). This process can vary from company to another. For example: The way of Up management will apply according to the specific reports of business. This method is changed by defining reports, Enter details for each report. When you press ENTER (or double click) at a object on the report, EFFECT software will show the report or a list of reports “Enter the details”, or the line of original documents corresponding to the current object on the report. When looking the report “Enter for details”, you can proceed the “Up Management” on this new report... Along with the ability to create unlimited number of reports by EFFECT software, reporting systems of businesses can be very rich and "Travelling" over the reports can be like on the websites.

For example: When you are in the balance sheet, press ENTER on the object "Customer Receivables" and it appears "Summary of customer receivables", when ENTER a certain line (a certain customer) in a summary of customer receivables, there are two options: "Sales Report by customer" and "Detailed book of Customer debts" (the user can change the number of choices), any of which can be chosen. For example, if you choose "Detailed book of Customer debts", EFFECT will show the detailed book of Customer debts corresponding to each generated data (sales, receivables... ). If you press ENTER on any line, the original documents will be displayed, you can edit this line or press F2 to bring up the data entry screen with available data for viewing and modifying.

In the example above, you have performed Up Management with five levels of data starting from the accounting balance sheet to the original documents.

 

Would Up Management affect the data security?

 

The answer is No!
